The Church of the Annunciation is seeking a part-time Parish Administrator to manage various administrative, communication, and bookkeeping tasks. The ideal candidate will be a proactive problem solver with excellent organizational skills and the ability to handle multiple responsibilities. This part-time position combines remote and on-site work, ensuring the smooth operation of church activities and interactions with tenants and congregants.
The Parish Administrator will serve as the main point of contact at the church, working approximately 15-20 hours each week, with flexible scheduling options available. This is an hourly role, paying $20-$23 per hour based on experience. Responsibilities include, but are not limited to, managing data and records, providing phone and email support, assisting with communications, managing the church calendar, and supporting church ministries, volunteers, visiting priests, and lay leadership.
Key Responsibilities: Building Management
Serve as the main point of contact for tenants regarding maintenance issues, coordinating with the Senior Warden for authorization.
Maintain vendor lists and schedule inspections, pest control, HVAC maintenance, and general repair work as authorized.
Order janitorial and maintenance supplies and report issues concerning church use areas.
Maintain records for building repairs, maintenance, inspections, and report security concerns.
Administration & Parish Communications
Collect and distribute mail, manage incoming phone messages, and oversee church email communications.
Perform assorted errands, create event flyers, and purchase supplies for church projects.
Gather content and publish weekly newsletters using Constant Contact.
Maintain and update membership directories and email lists.
Support the production of weekly bulletins and church website updates.
Design promotional materials and assist with the development of pledge campaign content.
Maintain records of restricted donations and print materials for children's programs.
Initiate background checks and safeguard training for staff and vestry members.
Bookkeeping
Record pledges, rents, and other income in QuickBooks weekly.
Endorse, deposit checks, and manage monthly tenant invoicing and payments.
Reconcile bank statements, process payroll, and generate tax documents.
Enter, process, and print checks for approved expenses and manage financial records.
Generate financial reports and ensure accurate categorization of downloaded transactions.
Generate and distribute pledge and giving statements quarterly and annually.
Qualifications:
Proficient in bookkeeping and project management.
Strong patience and ability to work effectively with diverse groups.
Experience with QuickBooks and basic accounting principles.
Excellent communication and organizational skills.
Ability to manage multiple tasks and projects simultaneously.
